Volunteer – Events Coordinator

The primary purpose of the Volunteer Event Coordinator’s role is to plan, organize, and execute events that support the charity’s mission and objectives. This role is essential in creating impactful and engaging events that raise awareness and foster community engagement. The main points below play a vital role in the success of the charity’s events, which are crucial for fundraising, awareness, and community building. Their work ensures that events run smoothly and effectively, making a significant impact on the charity’s ability to achieve its goals and support its beneficiaries.

 The MEC Health Fair Volunteer role:

The 2024 Minority Ethnic Communities (MEC) Health Fair will be in Cardiff. The theme this year is “Building Healthy Communities: embracing self-care and achieving health equity” and the event will be held at Cardiff City Stadium (Leckwith Road, Cardiff CF11 8AZ) on Wednesday 16th October from 10am – 3pm. The volunteers would assist with the effective organisation, running and evaluation of the annual MEC Health Fair.

Aims of the MEC Health Fair is to provide accessible health & wellbeing information and health checks to members of South Wales ethnically diverse population. 

Key Objectives:

·  Enable members of South Wales diverse minority ethnic communities to have access to appropriate information with regard to their health & wellbeing

·  Provide an opportunity for the voluntary, statutory (& public) health sector to promote initiatives and services to the events’ target communities

·  Provide opportunities for individuals to be tested for conditions that disproportionately affect the events’ target communities

RESPONSIBILITIES

There will be many different roles for volunteers and based on their interests. We will try and fit the role to the individual. The following list outlines some of the responsibilities each volunteer can opt for.

·      Assist stall holders before and during the event

·      Assist with setting up the venue.

·      Manning registration desk

·      Meet and greet visitors and direct them to the main area

·      Direct visitors to workshops, presentations and taster sessions during the event

·      Guiding visitors to health checks.

·      Help those with language difficulties by translating and interpreting

·      Distribute evaluation questionnaires and assist visitors to complete where needed

COMMITMENT

Volunteers must be willing to attend briefing meetings before the event, and to be available for the duration of the Health Fair.

 

TRAINING PROVIDED

The Mentor Ring provides one-hour training session on Tuesday, 15th October at 10 a.m. at Butetown Community Centre to review their duties orgnanised by The Mentor Ring. Following the session, there will be an opportunity to tour the venue.

What you will be doing:

  • To support in co-ordinating community events and activities, MEC Health Fair, liaising with community leads, attending relevant meetings, collating information.
  • To give relevant input in meetings, making informed decisions on logistics such as venues, stage set up, dates, times, invitees and catering.
  • To ensure progress and updates are fed back to The Mentor Ring.
  • Creating marketing materials and giving input on publicity for the event and distributing materials through the appropriate channels including Social Media.
  • Attending and assisting in the co-ordination of the event.
  • To contribute to any post-event evaluation, outlining successes and any lessons learned for improvement.

Experience:

  • Experience of working with ethnic minority communities (optional).
  • Good communication skills
    • Self- Motivated and Good Interpersonal Skills
    • Creative
    • Outgoing
  • DBS Check

Time and Place:

  • Monday to Friday – Flexible
  • Flexible 10 am to 2 pm 
  • Flexible hours 5 per week.
